Job Description:
This position is responsible for the center's front desk, facility operations, and general administrative support functions including but not limited to:
Responsible for front-line support, front desk staffing, and visitor coordination for the career center.
Ensure outstanding first impressions for all stakeholders that visit the center.
Serves as the main contact for center reception in-person, phone, and online.
Supports general career center customer service, help, and inquiry accounts.
Assists with training of student staff on front-line support and cover staffing for any of the two front desk and other engagement entry point areas of the career center.
Knowledgeable of the career center to attend to visitor needs and provide resolution for complex frontline issues within the unit.
Manages the career center's facility reservation system, maintenance requests, and inventory functions.
Communicate with internal units (e.
g.
Building Services, Maintenance, Division IT), to ensure requests and functions are satisfactory to support optimal usage.
Maintains operating and emergency procedures for the center.
Assist with meetings and events for the Career Center.
Aids in planning logistics, attendee follow-up communications, scheduling, and day-of arrangements.
May collaborate with others in the department for special events and signature programs.
Assists with administrative functions related to the operations of the career center.
Provides coordination of services, supplies, mail, security, and functional training.
Compiles data, conducts research, performs independent analysis, and formulates recommendations on administrative matters.
Prepares reports, presentations, manuals, and materials for administrative projects.
Works in university and departmental databases to coordinate and process administrative functions and records.
Performs other administrative duties as assigned by the supervisor and higher authorities in the department and division.
Participates in meetings, committees and represents the center and supervisor as needed.

High school diploma or equivalent and one year of appropriate experience.

EXPERIENCE - One (1) year of experience (minimum) in administrative functions.

Demonstrated competence in office administration, computer and technological skills, teamwork, service excellence, effective communication (written and verbal), and detail orientated.
