We are currently seeking an Administrative Assistant to join our team.
The position reports directly to the Chief Executive Officer and serves as a liason to the agency Board of Directors.
Normal business hours are M-F from 8-5, with lunch from 12-1.
This is a non-exempt position.
This position is located in our main administrative office in Gainesville, FL.
Overview Required Skills:
A professional who has previous experience as an administrative assistant, executive assistant and/or other office management experience.
A highly motivated self-starter.
Excellent time management and organizational skills.
Excellent computer skills (Microsoft Office program experience required).
Adobe pro preferred.
Exceptional communication skills.
Experience taking minutes and working with a Board of Directors preferred.
Responsibilities may include:
screening calls; managing calendars; making travel, meeting and event arrangements; and customer relations.
Requires strong computer skills, flexibility, excellent interpersonal skills, and the ability to work well with all levels of management and staff, outside clients and vendors.
This position also assists with human resource administration including maintaining files, policies/procedures, and benefits administration.
Sensitivity to confidential matters is required.
Serves as the staff liaison to the Board of Directors.
Duties also include aspects of office management.
QUALIFICATIONS Bachelor's Degree preferred, or High School Diploma with equivalent experience in an administrative role.
Experience with all standard office equipment.
Strong communication skills are essential for this role, and the ideal candidate should demonstrate proficiency in crafting effective and articulate emails to internal and external stakeholders Demonstrated success in organizational and administrative competency areas Skilled in use of Microsoft Office Suite (Outlook, Word and Excel).
Adobe pro experience preferred.
Ability to create and maintain organized filing system of paper and electronic documents Possess time management and organizational skills, ability to multi-task.
Ability to work independently with minimal supervision once initial training is complete.
Ability to uphold a strict level of confidentiality.
Ability to travel for work occasionally.
Must possess a valid Florida Driver's License.
Additional
Responsibilities:
Assist with preparations for Board of Directors and committee meetings, including serving as recorder for meetings.
Maintain Board roster and contact information Coordinate correspondence to Board from CEO.
Maintain CEO calendar for the purpose of scheduling appointments.
Make travel arrangements for Board and CEO.
Assist with general clerical duties as required by CEO.
Assist with maintenance of personnel files, human resource policy/procedures.
Coordinate aspects of office management that include maintaining supplies, scheduling vehicle maintenance, maintaining mileage logs and vehicle key check out, schedule and ensure completion of all office maintenance and repairs.

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
