Program Assistant

The Program Assistant position responsibilities involve staff administrative analytical and evaluative work directly related to program operations, as well as management and organizational efficiency and productivity. The overall responsibilities includes but are not limited to:
Audits scheduled appointments for accuracy with current regulations for the entire system. Stays abreast of changes occurring in the scheduling package. Provides assistance to analysts or managers in evaluating program operations; identifies problems, inefficiencies, and potential problems, and works with MAS Trainers to develop recommendations, including remedial training, for the solution of highly complex administrative problems and conflicts. Serves as a subject matter expert on technical procedures related to scheduling. Provides guidance and clarification to clinical and administrative personnel regarding scheduling policies and procedures. Communicates skillfully with individuals in order to obtain the desired effect, while ensuring compliance with established policies and regulations. Facilitates any necessary follow-up audits to ensure satisfactory resolution. Utilizes computerized programs and databases in order to enter, modify, and retrieve sensitive information and data into or from electronic medical records, scheduling systems, and/or reporting formats. Maintains patient confidentiality with written and verbal information in accordance with HIPPA requirements. Adheres to current VHA and local policies related to outpatient scheduling. Performs work involving the collection, compilation and /or tracking of data and statistical information in support of the organization's scheduling operations. Creates, organizes, files and retrieves reports, correspondence, and numerical data for use in preparing status reports, briefings, and presentations. Stays abreast of VA Policies and Regulation related to scheduling. Participates on Special Projects assigned by Chief, Medical Administration Service. Work Schedule:

Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-5. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. You may qualify based on your experience as described below:

Experience:
You must have one year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. Specialized Experience is defined as:
(1) Providing guidance and clarification to clinical and administrative personnel regarding scheduling policies and procedures. (2) Managing data to audits scheduled appointments for accuracy with current regulations. (3) Developing procedures for data management and database development. (4) Extracting, correlating, and analyzing scheduling data and making recommendations to clinical and administrative leaders. (5) Demonstrating independent proficiency in computer word-processing, presentation, and graphic software programs to create end-user reports. (6) Demonstrating skills in support of customer service and coordination of work with individuals at all levels of the organization. You will be rated on the following Competencies for this position:

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
