The Department of Chemistry is accepting applications for an Academic Assistant I for the General Chemistry Program.
The Academic Assistant I is the main point of contact in the General Chemistry Program Office and provides a high volume of support to faculty, graduate assistants and students.
Duties and responsibilities include, but are not limited to:
Provide Information and Advisement to Students.
Advise students concerning course prerequisites, registration and drop/add procedures, placement test and course policies.
Assists faculty advisors with processing of paperwork including but not limited to:
departmental control permissions, prerequisite overrides, and other registration tasks during peak times.
Provide information about faculty and graduate assistant availability, other sources of Academic Advisement, etc.
Assemble and post up-to-date lists of academic staff and tutor office hours.
Maintain course bulletin boards as needed.
Provide information to former students related to queries into previous syllabi, academic policy review, and questions pertaining to General Chemistry.
Administrative support to chemistry advising.
Preparation of Course Materials.
Initiate requests to faculty for timely submission of copy of coursework, exam, exam materials, or other related course materials to ensure they are prepared and printed in the proper quantity and distributed in a timely manner before needed by the course.
Format the Lab Manuals, class handouts, homework and exams as required.
The office is expected to be able to retrieve such documents as used in previous terms and to amend and reissue these as needed.
Assist faculty with preparation and organization of course materials and exam materials.
Duplicate course materials in the proper quantity and distribute these in a timely manner.
Maintain security of exam materials.
Prepare spreadsheets, correspondence, documents, and reports as needed by assigned General Chemistry faculty and/or Director of General Chemistry.
Provide training and supervision if applicable hired OPS clerical help assist in this work, and check on the accuracy of their performance.
Assist in electronic input or configuration of course materials, exams, homework, or other course assignments as needed or requested by General Chemistry faculty members.
Provide Academic Services to Faculty.
Help coordinate faculty in terms of curricular and articulation issues.
Provide information and materials from previous term offerings and archive all previous course materials distributed to students.
Assist faculty in the scheduling of rooms for exams and other purposes.
Assist in the preparation of forms used for course organization and administration by faculty.
Schedule meetings as requested to by faculty, take minutes as needed.
Perform data entry as needed for faculty that may include:
grade entry, entry of homework/quiz/exam questions into online-database/question bank, CANVAS/computer-based entry of data.
Process petitions as requested by faculty and keep record of completed petition forms.
Assist faculty with preparation and organization of TA schedules, exam schedules, conflict exams, and other events relative to General Chemistry as they occur.
Assist with textbook adoptions, course reserves, and ordering of desk copies for faculty.
As time permits, provide limited general non program related secretarial services to General Chemistry faculty.
Maintain calendars and associated email addresses for rooms controlled by General Chemistry program:
coordinate scheduling of meetings, study sessions, office hours, and other events in these rooms.
Serve as back up key holder for conference rooms and meeting spaces within building; assist with scheduling these rooms in case primary scheduler is unavailable.
Liaison with Graduate Assistants.
Serve as a source of information and course materials for graduate assistants.
Distribute quizzes, worksheets, and class handouts in appropriate forms and quantities.
Serve as liaison between faculty and assistants, including collecting and disseminating information about office hours, staff meetings, etc.
Ensure graduate assistants are present during their office hours, reporting absences to their supervisors.
Assist with Organizing and Coordinating the Chem-a-thon, including purchasing and reimbursements for vendors and services pertaining to the event.
May assist in scheduling, planning, arranging, or purchasing for other events as requested by the department.
Maintain Program Records.
Organize and maintain records, including computer files, of all course materials.
Securely dispose of outdated course or instructor files, including scantrons, per retention regulations.
Copy/Printing for Labs, Other Purchasing.
Assist General Chemistry and Organic Laboratory as needed with printing, copying, and keeping of any records or course examinations disseminated directly by Organic Lab faculty or staff for printing.
Serve as back up for lab supply ordering as needed or requested.
Assist with ordering of office supplies and instructional aids as requested, anticipating need for future terms.
Travel and Fiscal Operations.
Responsible for making travel arrangements including hotel reservations, rental cars, airlines, and registrations with the UF PCard for Director of General Chemistry and General Chemistry lecturers.
Responsible for filing travel authorizations and travel expense reports for travelling General Chemistry faculty.
Process reimbursements for faculty in regard to travel.
Process other financial documents pertaining to office supply orders, course supplies/materials orders, and invoice reconciliation.
Organize Office.
Order supplies as needed to anticipate office needs; be responsible for the scheduling of the maintenance of office equipment.
Ensure adequate office supplies, scantrons, and items needed by faculty for the instruction of their courses are ordered, paid for, and reconciled.
Expected Salary:
$16.
00 - $18.
00 per hour, commensurate with qualifications and experience.
Minimum Requirements:
High school diploma or equivalent and two years of relevant experience.
Preferred
Qualifications:
Four years relevant experienceKnowledge of PeopleSoft and UF procedures and regulations.
Excellent oral and written communication skills.
Ability to work independently.
Needs to be well organized and capable of meeting deadlines.
Detail oriented.
Ability to work well with departmental offices in the college and on campus; ability to establish and maintain effective and productive working relationships with others.
Proficient in using specific computer software programs (i.
e.
, Microsoft Office, including Excel, Outlook, Word)Familiar with rules pertaining to the confidentiality of student records.
